What a Florida board is up against.
A country-club community west of Boca, a canal-front association in Fort Lauderdale and a Brickell high-rise have little in common on paper. The six things below come up at all of them anyway.
Concrete restoration is now a way of life
Florida law now requires milestone inspections and structural integrity reserve studies for condominium buildings of three storeys and up. That puts engineers, restoration crews and scaffolding on properties that have never run a construction gate. A concrete job means trades arriving at seven every morning for months, and the board is expected to know who each of them is.
Hurricane season is half the year
June to November, and the work sits on both sides of the storm. Gate arms come off and shutters go up before it. Afterwards the roofers, the adjusters, the water-mitigation vans and the unlicensed operators all turn up on the same streets in the same week. A complete entry log is how a board knows who was on the property instead of guessing.
The community changes size in November
Seasonal residents come back, the units that sat empty all summer fill up, and in April it runs in reverse. A pass needs an end date built into it, because nobody remembers to pull one in the spring.
Rental rules only hold if you can prove a breach
Plenty of Florida associations cap lease terms or require the board to approve a tenant, then find the rule impossible to hold up because the only evidence is a neighbour photographing a suitcase. A dated entry log with the plate, the unit and the time gives your association attorney something to work with.
Lightning and salt air destroy gate hardware
Florida takes more lightning strikes than any other state, and salt air off the coast eats gate operators and control boards faster than the spec sheet allows for. Surge protection and sealed enclosures belong in the first quote, before the first strike.
A waterfront community has two perimeters
Canals, docks and marina slips are a way in. A board that has thought hard about the entrance and never about the water has secured half the property. It changes where the cameras go, and what the post orders say when a boat ties up at a resident's dock at midnight.

A note on language, because it matters more here than in most places. The resident app, the notifications and the emails run in eleven languages, Spanish and Portuguese among them. Haitian Creole is not yet one of them, and a Miami-Dade board should hear that from us now rather than find it out at go-live.

Is the visitor management platform really free for a Florida HOA or condominium association?
Yes. There is no subscription, no per-resident fee and no trial that quietly ends. Visitor passes, gate scanning, the entry log, work orders, amenity booking, deny lists and board reports are all included, whether or not Max Security USA guards your gate. Three things do cost money, and the pricing page lists them: SMS, access-control integration and white-labeling. Email and in-app notifications stay free.
Are your guards licensed to work in Florida?
Security work in Florida is regulated under Chapter 493. An unarmed guard holds a Class "D" license, an armed guard holds a Class "G" on top of it with recurring firearms qualification, and the agency holds a license of its own. Ask for the numbers in writing and check them against the state register.
Do you actually serve my part of Florida?
Our concentration is the Southeast Florida corridor, meaning Palm Beach, Broward and Miami-Dade, and Boca Raton, Fort Lauderdale and Miami each have a page of their own. What happens to the gate if power or internet goes down in a storm?
Plan for it, because in Florida it is a matter of when. What a gate does when the power goes is a hardware and fire-code decision made at installation. It fails open or it fails secure, that choice belongs to your board and your fire marshal, and no software overrules it. If the site loses its connection, the booth falls back to the written procedure agreed at set-up.
We have a milestone inspection and a restoration contract starting. Can the system handle months of trades?
Yes, and it is one of the cases it handles best. The contractor gets a recurring window tied to set days and hours instead of a pass re-issued every morning. Each subcontractor is logged under their own name rather than waved through as "the concrete guys". When an owner asks who was in the building the day their unit was damaged, you pull a report instead of asking the guard to remember.
Can residents demand to see the visitor log, and is it an official association record?
Florida owners have statutory rights to inspect their association's official records. Whether the visitor log counts as one is a question for your association attorney, and a software vendor should not be the one answering it. What we can say is that the log is complete, every entry is timestamped and the whole thing exports, so a records request means pulling a report rather than rebuilding one.
Who owns the data, and can we take it with us if we change providers?
The community owns its records, meaning the residents, vehicles, visitor history, incidents and documents, and can export them whenever it likes, long before any decision to leave. We do not sell resident data or share it with advertisers. There is no contract to terminate on the free platform, so a board that moves elsewhere leaves with its history intact.

How enforcement works

AI watches the cameras you already have
Software reviews the footage from your existing cameras and flags vehicles that appear to have rolled a stop sign or exceeded the limit the board set. Nothing new gets mounted on your poles for this to start.
A person checks the clip before anyone hears about it
Every flag is reviewed by a human being, who watches the video and reads the plate, before a single word reaches a resident. If the clip does not clearly show what the software thought it showed, it is dropped there and the resident never knows it existed.
The board sets the thresholds
What counts as speeding on your roads, what counts as a rolled stop, how many warnings come before anything else — those are the association’s decisions, recorded and changeable. We do not set them and we do not have an opinion about them.
Warning first, evidence attached, one tap to dispute
The first contact is a warning, not a penalty. It carries the video that prompted it, and a single link to dispute it. Disputes go to the board, which has the final say — we are not the judge of your community’s rules.
In Florida, Chapter 720 limits a homeowners’ association fine to $100 per violation unless the governing documents provide otherwise, and a fine cannot be imposed until the resident has had the chance to be heard by an independent committee of members who are not officers, directors, or their relatives. The platform is built around that sequence — warning, evidence, hearing — and your association attorney reads your governing documents, not us.
